This Privacy Policy applies to all editions of the LSCE Conference, unless the organiser of a given edition decides otherwise.
§1. General provisions
- This Privacy Policy sets out the principles governing the processing of personal data in connection with the organisation of the conference “Lightweight Structures in Civil Engineering – LSCE” (hereinafter referred to as the “Conference”).
- This Policy applies to all persons whose personal data are processed in connection with the Conference, in particular:
• participants,
• authors of submissions,
• speakers,
• persons using forms available on the Conference website.
§2. Data controller
- The controller of personal data is the organiser of a given edition of the Conference indicated on the official Conference website.
- The controller may be contacted via the e-mail address provided on the Conference website.
- The controller processes personal data in accordance with applicable law, in particular Regulation (EU) 2016/679 (GDPR).
§3. Scope of processed data
- Depending on the nature of participation in the Conference, the following personal data may be processed, in particular:
• full name,
• e-mail address,
• affiliation (institution, organisation),
• address details,
• invoicing data (including VAT number),
• data contained in scientific submissions (e.g. abstracts),
• other data voluntarily provided.
§4. Purposes and legal bases for data processing
- Participation in the Conference
• registration of participants and organisation of the Conference,
• communication with participants,
• financial settlements and issuance of accounting documents.

• Article 6(1)(b) GDPR – performance of a contract (participation in the Conference),
• Article 6(1)(c) GDPR – compliance with legal obligations (e.g. accounting). - Submission and publication process
• handling of scientific submissions,
• review process,
• preparation and publication of conference materials, within which authors’ data (full name, affiliation) may be published.

• Article 6(1)(f) GDPR – legitimate interests of the controller (organisation of the scientific process). - Documentation and promotion of the Conference
• recording the course of the event, including participants’ image (photos, recordings),
• publication of promotional and informational materials.

The data subject has the right to object to the processing of personal data on grounds relating to their particular situation. Personal data will not be used for automated decision-making, including profiling.
§5. Data recipients
- Personal data may be disclosed, in particular but not exclusively, to:
• co-organisers of the Conference,
• entities providing technical services (hosting, e-mail services),
• entities handling payments and accounting,
• reviewers and persons involved in the publication process,
• entities responsible for the publication of conference materials,
• authorised institutions under applicable law.
§6. Data sharing
- Personal data may be made publicly available in connection with the publication of conference materials (e.g. in the Book of Abstracts or on the Conference website).
- In the case of publication on the Internet, data may be accessible to recipients worldwide.
§7. Data retention period
- Personal data are retained for the period necessary to achieve the purposes of the Conference.
- Data related to financial documentation are retained for the period required by law.
- Data related to scientific publications may be retained indefinitely for archival and scientific purposes.
§8. Rights of data subjects
- The data subject has the right to:
• access their data,
• rectification of data,
• erasure of data,
• restriction of processing,
• data portability,
• object to processing,
• lodging a complaint with the President of the Personal Data Protection Office (UODO).
§9. Final provisions
- Providing personal data is voluntary; however, it is necessary for participation in the Conference or submission process. Failure to provide such data makes registration or submission impossible.
- This Policy shall enter into force on the date of its publication on the Conference website.
